Boost Your Productivity With WebProof’s Adobe Illustrator Plug-in.

In a lot of ways, being on a design team is like being on a car racing team. Before the race even begins, the team run around anxiously trying to tie up loose ends. Making sure every detail of the car is perfect and ready to race.

Online Proofing Adobe Illustrator Plugin

They check the tire pressure, tune the engine, check the safety gear, and weigh the car. Once everything is in harmony, the vehicle rolls into position and rests patiently. For the moment they’ve all been waiting for, when the light goes green and the car screams into motion.

Anyone who knows a thing or two about sports, knows this. The difference between winning and losing can be a few milliseconds. And the deciding factor more often than not comes down to little advantages like weighing 30 grams less. Even, a slight miscalculation of the team can ruin your chances of victory.

Running a world-class design team is EXACTLY like that. Trying to get through meetings and approvals before the deadline can be rough. Everything you go through in the design process has an impact on the final result. Each factor determines whether your project will be a masterpiece or not.

The tools you use, the skill of your team members, and the way you work together. That’s what makes or breaks a project. It’s the little things operating as a whole that decide your success.

In an environment where performance, efficiency, and productivity are all so crucial. You need every tiny advantage you can get. Our new Adobe Illustrator plug-in is precisely that.

Want To Finish Design Projects Faster? Kill Your Email.

Let me explain…

Most design professionals rely on email as their primary method for delivering work. They export their work to a PDF, open their browser, log in to their email account, draft an email, attach the PDF – and fire away!

Not only is that a long process to begin with – chances are they got distracted by the other 967 emails in their inbox while they were at it.

How much time did it really take to send that work? Who knows.

If performance is as essential to your project as it is to winning drag races – then that’s a problem. What’s the solution?

WebProof’s new Adobe Illustrator plugin lets you send work to your team for approval or to your clients. Without having to leave Adobe Illustrator and navigate somewhere else. Just finish your job, upload it to WebProof, and it’s ready for your team or clients to view.

By removing email from your workflow, you’re avoiding opportunities for inefficiency and distraction. As a result, projects get done in record time!

The Best iOS Proofing Tool for Streamlining Your Graphic Production Projects

The last few years at WebProof have been an incredible journey. In fact, our community now reaches over 50,000 strong. In that time, our most frequent request has been to release a mobile version of WebProof.

You said you needed something more flexible, more versatile, and more adaptable—and you were right!

We know that creativity doesn’t always strike when you’re sitting in front of the computer. More often than not, your lightbulb moment comes when your mind is on something else.

Proofing software for iPhone and iPad

Even Einstein said his best ideas would come to him while he washed the dishes.

So what do you do if you’re out and about, and you come up with a new change to make to your project? Until now, you’d have to scribble it down somewhere and wait until you got back to your desk to put it into WebProof.

When you’re working on a team project, the headaches only multiply.

Nobody wants their business trip to turn into a nightmare because they’re out of reach. What if your team is waiting for your feedback to complete a rush project?

And what happens when you finally meet up with this new client? Maybe you’re in a coffee shop talking over some design ideas. You don’t want to carry a bunch of notes and printouts around. Nor do you want to wait until you’re back at your desk to put them in WebProof.

As designers, marketers, editors, and managers, we know this would hold us back. It’s too much hassle for us and our team.

The perfect tool is one that’s as flexible and fluid as the people who use it.

Luckily, our team has finally got a solution for you.

It’s a Powerful, Portable Tool that Lets You Comment, Review, and Communicate with Your Team from Anywhere.

It’s the perfect companion for busy teams that need a versatile tool to manage their design workflow. Magazines, products, ads, newsletters—no matter what you’re making, our app will help you do it better.

Imagine what you could achieve if you could connect, track, and manage your projects from anywhere—whether you’re on the train, at a coffee shop, or on a business trip. You’d never be out of touch again.

Leaving feedback becomes hassle-free with the built-in sticky notes, highlights, and markup features. Point out edits or new ideas so your team can make it happen fast. Better yet, there’s no room left for error when you leave detailed notes.

And say goodbye to those “pull your hair out” moments when you thought you’d lost your work. The history feature automatically logs every detail. You don’t even have to think about it. It saves every change. It’s all there, always, anytime you need it.

With WebProof iOS, the power is in the palm of your hand.

Just think about it…

Your Laptop/Mobile + WebProof + WiFi = Total freedom to manage your team and create great work anytime you like!

Online Proofing for iPhone and iPad

Designed to Make Your Projects More Productive, Efficient, and Effective.

Unlike a mobile website, we built our app from the ground up using WebProof’s latest API. It’s more than our web-app squished into a smaller screen. It’s a mobile-optimized experience with a fresh new look.

And you’ll still have access to all the most popular features of our desktop version.

  • Note ideas, share comments, or check in on your project with a few taps on your smartphone.
  • Update the status of a page so your team knows whether it’s approved or needs revisions. They’ll get notified right away, so they can make the changes fast.
  • Structure your projects into folders with multiple levels to stay organized.
  • Get a bird’s eye view of your project status or zoom in on a single page to leave a comment or approve a design or a text.
  • Pinpoint exact areas for improvement with the Box Markup feature so there’s no room left for error.
  • Highlight any text you’d like changed, and WebProof will transfer it into a sticky note, which means less work for you.
  • Track and backup every detail using document history and smart status codes.
  • Get live updates from your team anytime without feeling like you’re annoying them.

It’s easy to get started with WebProof. Just upload project pages to the software via a Windows PC/Mac browser or an InDesign/Illustrator plug-in. Then you’re ready to go.

This Online Catalog Proofing App Helped Santa Avoid a Christmas Catastrophe

“I’m sorry, Santa, but if things keep going the way they are, the toy factory will be out of business by next Christmas.” Santa’s account manager sighed as he slumped back into his chair.

It had been a tough season for Santa and his elves…

This Online Catalog Proofing App Helped Santa Avoid a Christmas Catastrophe

In recent years, the toy market had been flooded with foreign competitors trying to take a piece of the cake. Many of them were generational family toy factories that were driving prices down and undercutting other established brands.

It was clear that Santa’s factory couldn’t keep up.

Internally, it wasn’t in great shape, either. Declining performance meant that finding resources to grow the factory was a nightmare. Not to mention the elves—rumor was, they were planning a strike.

Thinking about what would happen to the elves and their families if the factory shut down was enough to turn Santa’s stomach upside-down.

He had to do something, anything, to keep the factory open. But what could he do? They’d never faced this kind of trouble before.

Whatever Happened Next Would Seal the Fate of His Toy Factory

The results were in, and they weren’t good. Either Santa and the elves would search high and low for opportunities, or the factory would be gone by next season.

It was about time they made some long-awaited improvements.

To start, they reached out to the companies supplying them with toy-making materials. When the suppliers first mentioned they were working on a cheaper alloy, Santa’s eyes lit up. But after thinking about it, he decided against risking the quality of the toys.

Since cheaper materials weren’t an option, Santa and the elves decided to shift their focus. He arranged free training for his staff, hoping it would better their productivity. He knew his elves were his greatest asset, and keeping them sharp was crucial.

Next, Santa called on several of his trusted advisors. If he was going to get the factory out of this mess, he’d need fresh ideas. Luckily, one of them urged Santa to focus his efforts on the graphics department. Toy catalogs, packaging, and advertising materials are a big part of Santa’s operation. Without the right process, the production team would bottleneck the entire operation.

Santa Needed a Miracle That Would Revolutionize The Graphics Department

With his advisor’s words in mind, Santa’s next move was clear. His top priority was to remove any barriers holding the production team back. As you’d expect, his designers loved the idea too.

How WebProof Saved Xmas

“We’ve been trying to tell you this for quite some time,” the creative director announced in a matter-of-fact tone. “The process we’re using here is nothing compared to what other toy factories have. It’s outdated.”

After wracking their brains and searching online for ideas, Santa and his team found it: a little ray of hope called WebProof. It was an online proofing app that would allow them to centralize and manage their projects, including the gift catalog, all in one place. It could even automate parts!

Sure, it’d be a risk to try something new—changing processes is hard anytime, anywhere. But what if it revolutionized the department? Santa couldn’t stop thinking about the possibilities:

  • The ability to monitor projects in real time? Management would love that!
  • His team wouldn’t have to deal with the frustration of keeping up with an overflowing inbox.
  • The QA folks wouldn’t have to work so hard to stay on top of mistakes.
  • “If you pull this off, it would tip the scales back in your favor,” the gentleman from WebProof insisted.

The Stakes Were High, But It Was Worth It!

Four months later, at the season’s end, Santa and his elves sat around a fireplace with eggnog in hand. It had been a wild winter, and they had stumbled into unknown territory, with no idea what was on the other side.

But it paid off!

After the previous months, they had no doubt they’d made the right decision. The graphic production department’s productivity and effectiveness skyrocketed, reducing mistakes and costs.

By the time their New Year’s party rolled around, they’d transformed their business. Santa’s workers were more productive than ever, and happier too. Not to mention, they were outpacing their competition.

Santa knew this was only the beginning. Once they upgraded to WebProof’s Platinum plan, they’d be able to take it to the next level with automation.

What an incredible relief! Finally, it was time to sit back, relax, and enjoy a glass of fine eggnog together.

The Lessons They Learned Could Help You Too…

This season had taught everyone a valuable lesson: If you can produce graphics faster, cheaper, and better than your competitors, you win.

Don’t worry—these kinds of results aren’t just for elves. It doesn’t matter what you sell: If you’re in retail and design products, advertising, and packaging, you can proof it smarter with WebProof.

Our Christmas wish is that you’ll consider Santa’s tale and how it might apply to your own business. If you’re ready to find out more, you can do it here.

P.S. If you don’t believe Santa exists, here’s proof.

As always, don’t forget to sign up for our newsletter and share this post with your friends.

Wishing you a Merry Christmas,

WebProof access a billion-dollar U.S. market

Press release, Copenhagen 30. May 2016
Borsen”, the Danish Financial Times, had recently this article

It has proven to be the right decision for WebProof to establish itself in the U.S. market.

The software iBorsen_30_May_2016s torn from the shelves of its free version, and at the same time has proven scalability. The organization comprises just 20 employees, but the company is set to reach its first milestone of $15 million in 2017.

“In 2015 the number of licenses we supplied were primarily borne by the American market. We have had a great start to 2016, and everything indicates the year ahead will be even better, for we are actually able to increase the supply of new users exclusively through online advertising,” says Managing Director Jan Adeltoft, who was a founding member of the company, together with his son, in 2000. The company previously issued only 3-5 new licenses per month, but now issues as many as 300 licenses a month, with multiple users connected to each license.

WebProof’s software eliminates reliance on email. Categorized primarily as a platform for project management, file sharing and collaboration, it is centrally located in the cloud for all users. Customers are typically companies in the graphics industry, and use the tool to work cooperatively with their clients. When a company wants to make a sales brochure or newsletter, the advertising agency presents a draft in WebProof’s software, which can be commented on by all. The advertising agency can then make all corrections and adjustments directly online, after which the customer can approve the individual pages. When everything is approved, the file is packaged automatically and sent to press, or produced as a digital magazine. In the process, all parties can avoid confusion regarding the document’s latest version and work can progress seamlessly through a unique overview.

“On average, companies can cut production time in half by working in the cloud, as opposed to navigating a sea of endless emails. This efficiency, which has been perpetuated by word-of-mouth, is therefore the largest source of new customers for us,” says Jan Adeltoft. This is the case for users in the United States, among them The LEGO Group, Toys”R”Us etc. and many other well-known brands.

“We already have a wide range of major customers in Europe, including some of the largest retail chains, so we are an incredible force in optimizing the graphic process. No other tools on the market provide all-in-one software capabilities that offer project management, online proofing, online editing of InDesign files, and auto production of hardcopy into digital catalogs” says Jan Adeltoft. He continues:

“The automation of graphic production is far ahead in Denmark, so simply for that we will have the same share in the United States that we have in Denmark–an unused $1 billion market. We are prepared and have copyright on all the essential continents like Europe, USA, Canada, Brazil, Australia, Japan, China; domains in over 70 countries; and have translated our software into a wide range of languages, including Chinese. In many ways, we are now at the helm of a big international breakthrough.”

The American office is located in Florida, where Jakob Adeltoft is leader of development and sales, while Jan Adeltoft manages the European market.

About WebProof:
WebProof was founded in 2000 by Jan Adeltoft and Jakob Vedel Adeltoft. The software simplifies graphic production and facilitates better integration of companies and advertising agencies. Currently, WebProof assists such companies as LEGO, Audi, Bang & Olufsen, Bauhaus, COOP, and ICA to improve their production processes and reduce administrative work. The 50,000 users come from over 100 countries and together approve over 5 million pages per year. In 2015, Red Herring appointed WebProof as one of the 100 most promising European startups, as a testimonial to its great potential. WebProof is also one of the Gazelle-businesses.

Six reasons you should be using WebProof for your projects

Back in the olden days of print publications before the desktop revolution, there was one advantage in the hard copy document and design proofing process: A single document passed along through the staff and clients for corrections and approval. This meant we were aware of other readers’ preferences and thoughts as we could easily see the previous reviewer’s notes. Of course, this took time.

While technology has made worldwide collaboration possible, the design and copy review process can still be tedious. Multiple versions of documents often get passed around via email as PDFs (or worse, Word files). This can lead to a mishmash of notations added along the way. Since documents are typically sent to multiple stakeholders at once, compiling all those notes can become a mistake-prone chore.

The Proof is in the Cloud
The Cloud-based solution provided by WebProof provides the best of both worlds by allowing a single document to be reviewed by everyone involved in the project. They can then use the simple-to-use tools for online proofing to allow notes and markups to be added to the document, with side-by-side views of the original and new versions available with a simple click.

Easy Tracking and Project Integration
Integrated project tracking and approval keeps everything moving forward quickly and efficiently. It’s easy for everyone involved in the project to see each others progress.

See How Your Pages Will Look and Flow
High-quality proofs with page-flips allow collaborators to see the project exactly how it will look in the final product.

Team Notifications via Text
As each task is completed, notifications can be sent automatically via text message to collaborators to keep the project moving forward. One of our largest clients, which produces 100,000 projects each year using WebProof, reduced its overall design time by 35 percent because WebProof makes collaboration much more efficient.

Works for Any Size Project
WebProof’s service can be used on everything from articles and brochures on up to magazines and catalogs. The pricing is scalable, starting with a free version that is ideal for freelancers and individuals. Then there is a basic version that can handle small agencies and the Platinum account that can automate and optimize a large-scale operation’s entire internal design work.

Proven In The Real World
50,000 users in over 100 countries are now using WebProof to approve over 5 million pages a year. Agencies like Gutenberg France, MediaTeam in Norway, and Altavia in Europe and China are using WebProof’s online collaborative tools to speed and simplify their workflow. Corporations like The Walt Disney Company, Audi, ToysRus, and Bang & Olufsen use WebProof to handle multinational campaigns and design projects. Even magazines can handle their design process through WebProof (Scandinavia’s Aller Media uses WebProof to produce Danish Elle and 35 other magazines).

WebProof is a perfect example of how the right cloud-based workflow solution can allow collaboration that saves a huge amount of time, and-of course-time is money. You can sign up for a Free for Life WebProof account at

Replace email and attachment with a Collaboration Platform

The solution couldn’t be simpler, and your company will regain control over business data. Instead of leaving it stored in personal email boxes, data is centrally archived project to project—with the bonus of significantly reducing the time your employees spend on emails.

A trillion pieces of company data are sent to personal email boxes, every day.
In the United States, 85% of all business data—including contracts and other sensitive information, is stored in personal email boxes, unavailable to others who need access. And what happens when employees change jobs? Data can easily disappear, or even fall into competitors’ hands. This must concern those who are responsible for the email policy of the company. Does your IT department notice how your storage capacity is being consumed, requiring bandwidth and so on, because the number of file attachments is increasing?
Do you have an email policy regarding the use of CC, BCC and attached files?

85_28_1_trillion_636 pixel
Did you know that 28% of all office time is spent on emails?
Both the McKinsey Global Institute and the Radicati Group have documented that every office employee spends a minimum of 10–15 hours a week handling, sorting, archiving, searching, reading and writing emails. This time can be reduced by at least 25% at no cost. As an example, one of our largest clients project turnaround time was reduced by up to 35% when they moved from traditional email communication to WebProof, an online approval solution. Across all kinds of companies, the average time spent on emails is 28%.

In companies producing graphic documents requiring many approvals, that time can undoubtedly reach 50% when traditional email, rather than an online procedure, is used for the approval process.

Climate change, explained in 4 charts

21_Carbon_Free_Footprint_WebProofWebProof is an online proofing service, and because it’s all done online, all printing is removed from the proofing process and in this way reduce CO2. We do our utmost to be a Carbon Free Footprint company so we can help fight global warming.

We saw this article from The Washington Post today and found these 4 graphs especially informative, so we wanted to share it with you.

1_Temperature_increaseThe intent of the United Nations — the diplomatic phoenix that emerged from ashes of World War II — was that countries would have a central place to come together and address important issues. For a variety of reasons, the U.N. has rarely upheld that vision. But the gathering getting underway in Paris this week, the 21st annual convening to address the problem of climate change, offers a chance for the U.N. to actually do what it was intended to do: Bring countries together to solve a mutual problem with multiple culprits. Of course, they’ve tried 20 times previously.

The most famous previous gathering of the parties to the United Nations Framework Convention on Climate Change was in 1997, in Kyoto, Japan. The attendees agreed to what became known as the Kyoto Protocol, which would have limited the production of carbon dioxide by signatories beginning in 2005. While the protocol is largely known in the United States because it became a point of contention early in the administration of George W. Bush, it has been implemented by other countries in the years since.

But the problem of carbon dioxide building up in the atmosphere — one of the main reasons that the atmosphere is trapping heat, according to climate scientists — has only gotten worse. In April 1995, carbon dioxide was present in the atmosphere at 363.23 parts per million. Last month, the figure was 398.29, just less than the 400 ppm number that has long been an upper limit to what’s viewed as acceptable.

What’s more, the last two conferences of parties (COP) have been during unusually hot months. Every month hosting a COP has been warmer than the month would have been during the same month in the 20th century — but recent conferences have been exceptionally warm. This year’s is poised to be similar.

The main problem being addressed at the Paris gathering, as is usually the problem, is figuring out how to build a mechanism that will reduce carbon dioxide output fairly across multiple counties. The countries of the world do not all produce carbon dioxide at the same amounts. Most greenhouse gas emissions come from electricity production and other fossil-fuel burning, and China has recently surged into the lead as the most polluting nation on Earth.

2_Carbon_Dioxide_Emissions_fossil fuelAs a function of population, though, the United States produces far more carbon dioxide than most other countries.

3_Carbon_Dioxide_Emissions_fossil fuel_capita     But a large amount of emissions also comes from smaller countries.

The challenge before the U.N. is figuring out how to get the big countries to scale back their emissions while not unduly hobbling smaller (and often growing) countries by limiting the amount of electricity they can produce. Many of the countries participating in the conference have submitted pledges of how they’d limit their own pollution. But those pledges themselves will not be enough to keep global warming within limits scientists consider crucial. (That benchmark is an increase of 2 degrees Celsius above pre-industrial levels.)

This year’s conference has taken on special significance for two reasons. First, it comes as President Obama has made a concerted effort to address the problem of climate change — and as he nears the end of his term. Second, the urgency of the problem is becoming more apparent as the world continues to set new temperature records.

The United Nations was created mostly to prevent wars. This week in Paris, the organization will tackle a much different, but much more widespread crisis.

By Philip Bump in The Washington Post, November 30, 2015.

You support a CO2-free environment by using WebProof, because WebProof makes every possible effort to improve the environment.

Using WebProof online proofing rather than traditional printed proofs, you save the many trees it takes to produce the paper, and you avoid the subsequent disposal of these paper prints, including toner and ink. In both cases, you avoid emitting a lot of CO2 into the atmosphere.

Last year more than 5 million pages were approved through WebProof. If three people were involved in each proof, this would result in 15 million printed pages.  If none of these users printed these pages out, but instead accepted them online, each year we would save:

– close to 2,000 trees

– close to 400,000 kg CO2

In addition, if you use WebProof you help to plant new trees, as WebProof plants a tree every month for every customer we have. After 10 years you will have planted 120 new trees, and WebProof will have planted 120,000 trees for our 1,000 customers. We can all help the world to a better future by using WebProof to read and approve proofs online.

Stressful to be a project manager?

Being a graphic production project manager can be very tough. Instead of focusing on the basic aspects of your work, you have to deal with endless emails and versions of PDF documents, which can be stressful. Using some simple tools, we have created a solution to help you when you find yourself juggling clients, marketing managers, account managers, reviewers, designers, and others. Our solution helps you complete many of the tasks you have to deal with, including the following.

Lots of communication
Email is ineffective and slow. It requires you to constantly receive and send messages to share multiple versions of documents containing corrections. You have to combine all the corrections from everyone so the designer knows what to do, which can be very time-consuming. With our cloud-based software, you no longer need to use email to share document versions because they are all stored in the cloud and everyone’s corrections are on the same page.

Not knowing the page-by-page project status
To have a good overview of a project, you may place printouts of the latest version of all 32 pages on the walls around you. This allows you to review the pages from your desk, seeing which pages have been approved, which ones are with the designer, and which ones are with the client. Instead, you may use an Excel spreadsheet that you constantly update, which is also quite time-consuming. Our solution gives you a real-time, page-by-page status overview on your computer screen.

Problems close to deadlines
Say that you need to pick up your child from kindergarten because he is sick, but you are close to the project deadline and it is important that you be at the office, where you have all your papers and can review the pages on the wall. In a stressful situation such as this, you can go to WebProof in the cloud and access all the project information as long as you have access to the Internet, making deadlines less stressful.

Justifying the number of work hours to your client
When creating client invoices, it can be a pain to justify the number of work hours on the project. Doing so requires you to keep track of many documents, which can be very stressful and not economical. Our solution log can help you provide detailed documentation of the number of hours worked.

Can I try these tools?
Yes, you can try these amazing tools at no cost on your next project, giving you a detailed overview and increased performance. You can sign up for your free lifetime WebProof license and forget about emails, instead getting corrections from everyone on the same version of a document. The only thing you need to get this real-time, detailed, page-by-page status overview is internet access. Don’t worry about staying at home if your child is sick-all your project information is in the cloud. Invoicing is a piece of cake because every action is logged. Why wait?
