We are only three people – it’s far too expensive for us!

Just so you know, a small upstart advertising agency called Cimo A/S, with a total staff of four, is running WebProof Enterprise at 870 € per month. Too expensive? With WebProof they have landed some very large clients, including Michelin Nordic. Does it still sound too expensive?

Bottom line: the three-person argument does not count. Besides, you can always just try WebProof Basic at only 199 € per month.

We don’t have much to proofread

Okay, but how many print-projects do you have per week? Let’s say 5. How many proofs do you work through on an average project? Let’s say 4, three that gets corrected and a final verison. If you have the typical customer-project manager-graphic artist project sequence, that implies a minimum of 5 x (2+4×8) = 170 e-mails/week will be sent between these 3 persons.

And what about billing? Do you have record of all the client’s requests mentioned in their e-mails? With WebProof billing almost becomes fun – you just print out the log and attach to your invoice.

Our proofing is running well enough today.

Okay, but why not still reduce production time by 25%, and why not invoice more and attach a WebProof log as justification? Why not offer clients a real-time view of how their current project is progressing? How exactly, do you acquire new customers? Creativity, references, and other traditional sales points are no longer enough. There has to be more. WebProof’s major strength is that it earns its reputation over and over, as clients’ favorite collaborative proofing system.

Our administrative system already records all changes!

ALL changes? What if your client asks for a transparent background, or for you to reverse 2 pages? Will your administrative system show that Page 2 underwent 5 proofs, Page 3 had 3 proofs, and Page 4 had 8 proofs? Will it list what the reason was for each change?

What are the main differences between WebProof Basic and WebProof Enterprise?

WebProof Basic and WebProof Enterprise are different on these fronts:

  • 10 users vs. 100 (both expandable)
  • 3 page Status Codes vs. infinite number
  • project thumbnails viewed as Pages 1-N vs. as reader’s or printer’s spread
  • 2 user roles vs. infinite number
  • 2 external Express Users vs. 10

WebProof Basic and WebProof Enterprise are similar on these fronts:

  • compare versions pixel-by-pixel
  • full PDF Text Search
  • Print-Ready Log

If you find you need:

  • more than 30 Users
  • more custom Status Codes
  • StatusFlow routing of pages
  • more custom Roles
  • various Notification Rules
  • to Hide Pages …

…and perhaps also need:

  • webFlow workflow management of external systems
  • XML Integration
  • automatic Project Creation
  • direct high-res PDF editing
  • automatic portal upload
  • to reduce your e-mail box and generally want a totally automated PDF workflow,

…you can always upgrade to WebProof Enterprise!

We already use e-mail and Acrobat – why should we use WebProof?

Does this mean that your customer has to flip between the PDF and the their reply email and write: “on Page 3, Section 4, Line 5, change XXX to YYY”?
That is a lot of work, compared to WebProof where you just place a yellow Sticky Note pointing to the error (2 clicks) and write your comment.

This Sticky Note and all others on the page are visible to all users with rights to the page.

Are you aware that even one correction typically results in 18 e-mails? Your team must spend a lot of time searching, sorting, storing and reading all those e-mails.

How can it be that I’ll save 25% on production time?

For a few reasons, really.

WebProof splits projects into pages, and deals with each page separately. As soon as a step is performed on one page, it is off to the next step.

Nobody has to wait for the entire document before they can get at it.

WebProof also notifies each person when they have a page to work on. If you’re not logged in, WebProof can send an email. If you’re away from your desk (or out of town, or out of the country), WebProof can send an SMS text message. WebProof stamps every Page Status change with date and time. It becomes clearly obvious when someone delays addressing a page for a long time after it was ready. You’ll be surprised how fast response time gets. We also observe that nearly 50% of Sticky Notes are created, not from 9-5 but between 6pm and midnight. What you normally would receive sometime later in the day, you now get first thing in the morning!

Will WebProof cost more than I’m saving?

No. Remember that you’ll be saving more than the hourly wage of staff in your company. There are plenty of other employee costs, like unemployment insurance, health benefits, pension contributions, training, desk space, etc. And if you redeploy staff on higher volumes or elsewhere in the organization, you will actually be earning money on their new efforts!

The Internet – is it safe enough for confidential information?

WebProof access is password protected. WebProof’s servers are hosted in the same secure financial data center as servers for the Copenhagen Stock Exchange. But WebProof’s best security reference is that many large and well-known brands have analyzed our security and found it good enough for them: Volvo Group – Europe, Bang & Olufsen, The LEGO Group, Metro International – Denmark (free urban newspaper), JYSK Bed, Bath, & Home, Silvan (hardware stores).
